- Information you submit via contact forms.
- Technical information, such as an IP address, recorded through standard server logs.
- Cookie preferences and records of your choices collected through Elementor Cookie Consent.
We use Google Analytics 4 to help us understand how visitors use the website. When enabled with your consent, it may collect information about your device, browser and interactions with the website.
We use Google reCAPTCHA v3 to help protect enquiry forms against spam and automated misuse. It assesses website interactions and technical information to produce a risk score.
Our Cookie Policy explains the use of cookies and similar technologies and how you can manage your choices.
We do not ask you to provide sensitive or special category personal data through this website. Please do not include health information, identity documents, bank details or unnecessary confidential information in an initial enquiry.
3. How We Use Personal Information
We use personal information to:
- Respond to client and professional enquiries.
- Provide information about our services.
- Prepare fee estimates.
- Understand your proposed transaction or professional enquiry.
- Communicate with potential clients prior to formal instruction of Burgh Thorpe Solicitors.
- Maintain necessary administrative records.
- Operate and protect the website.
We also use personal information to send enquiry acknowledgements, assess potentially automated or abusive submissions, manage and record cookie choices and, with consent, understand website use through analytics.
Submitting an enquiry does not automatically mean that a legal matter or professional arrangement has been accepted.
4. Lawful Basis for Processing
Depending on the activity, we rely on the following lawful bases under the UK GDPR:
Legitimate Interests
To respond to enquiries, provide requested information, discuss proposed professional relationships, maintain necessary enquiry records and operate and protect the website, where those interests are not overridden by your rights and interests.
Consent
Where you give consent to a specific use of your personal information, we rely on that consent for the stated purpose. This includes the use of optional website analytics on a consent basis.
You may withdraw your consent at any time without affecting the lawfulness of processing carried out before withdrawal. Cookie choices can be managed through the website’s Elementor Cookie Consent controls, as explained in our Cookie Policy. For other processing based on consent, contact enquiries@rjclegal.co.uk.
Consent is not inferred simply because you browse the website or submit an enquiry.
Legal Obligation
Where we are required to retain, use or disclose information to comply with a legal obligation.
Burgh Thorpe Solicitors’ lawful bases apply to its own processing of personal information. RJC Legal Limited remains responsible for the lawful bases for its own processing.
5. How We Receive Enquiry Data
Website enquiries are sent to:
Website enquiries are received in the RJC Legal Google Workspace mailbox accessed through Gmail. A copy is retained in that mailbox. Copies are also sent to rebecca.coombes@burghthorpe.co.uk.
We use WP Mail SMTP with SMTP2GO to send internal enquiry notifications and acknowledgements to the person submitting the form.
Our enquiry forms send the information you provide by email without saving a separate submission record in the website’s WordPress database. Optional logging of complete email messages in WordPress is disabled.
Our email tools process message contents to deliver notifications and acknowledgements. They also retain technical information about email delivery and errors. SMTP2GO may retain a small sample of messages for security and abuse prevention.
RJC Legal Limited remains responsible for its own enquiry records. Burgh Thorpe Solicitors’ privacy information applies to information the firm processes.
6. How Long We Keep Information
We keep personal information only for as long as it is needed for the purpose for which it was collected, taking account of applicable legal or regulatory requirements.
For initial enquiries that do not proceed, we retain enquiry information in our email system for up to 12 months from the last meaningful contact. We delete it sooner where it is no longer needed, unless a legal or regulatory requirement requires us to retain particular information for longer.
When an enquiry proceeds to formal instruction, we delete redundant copies from RJC Legal Limited’s enquiry records once the necessary information has been safely recorded in Burgh Thorpe Solicitors’ systems. Where RJC Legal Limited needs to retain particular information for a continuing administrative purpose, a complaint or a legal obligation, we retain only the information necessary for that purpose and review whether it is still needed.
SMTP2GO retains email header information and any messages sampled for abuse prevention for 35 days before deletion. We do not enable its optional email archiving or extended activity storage.
For the detailed user and event information covered by Google Analytics 4’s retention controls, we use a two month retention period. New activity does not restart the retention period for user data. Google deletes expired information through its monthly deletion process. This setting does not apply to standard aggregated reports.
We retain records of cookie choices while we rely on the relevant consent and for as long as necessary to demonstrate that the associated processing was authorised. We review these records and remove them when they are no longer required, unless a particular complaint or legal obligation requires them to be kept longer.
Other technical records are retained according to their operational purpose. Email delivery and error records help us confirm delivery and investigate faults. Security records help us detect and investigate misuse. We review records under our control and remove them when the issue has been resolved and there is no continuing operational or legal need to retain them. Routine records managed by our providers are subject to their applicable retention and deletion arrangements.
Backup and recovery copies are used to restore systems following data loss or technical failure. Information deleted from active records may remain in these copies until they are overwritten or deleted through the relevant provider’s backup cycle. These copies are not used as active enquiry records. If information is restored, we reapply any relevant deletion decisions.
Burgh Thorpe Solicitors’ own retention arrangements apply to information it processes. RJC Legal Limited remains responsible for the retention of its own records.
